Position:     Customer Service/Administrative Assistant

Overview:   The Abbate Agency, Richmond Office for the Knights of Columbus is a friendly, family-oriented business that is expanding, and we are seeing an administrative assistant/customer service representative to join us as we grow.  The candidate will be working with highly sensitive documents and needs to be extremely trustworthy.  English is required with bilingual ability a plus.

Description: Our faith-based company is looking for a motivated, independent, responsible, ethical, detail-oriented applicant who wants to assist our members and their families in obtaining a strong financial future.  Job duties include, but are not limited to:

  • Energetic, outgoing personality with strong communication skills.

  • Excellent customer service skills both in person and on the phone

  • Strong computer and electronic skills on multiple platforms for text messaging, emailing, multiple calendar programs and Microsoft Office

  • Quick learner for basic documentation, service work and file preparation

  • Patient and able to multi-task between multiple agents

  • Strong organizational skills

  • Independent, task-oriented worker who is self-motivated and will meet daily expectations from management and clientele.

  • Works well with others in a quick-paced team environment

This position is part-time to full-time with pay commensurate with experience.

Client Relations Specialist, Administrative Professional Job Description

The Client Relations Specialist will report to the Field Agent Team Lead and other Field Agents in The Abbate Agency Manassas Office.

Responsibilities and Duties

Provide clients with an excellent experience and facilitate client retention by building strong and trusted customer-relationships. Continually assess and anticipate their needs.

Build rapport through timely and accurate communications. Utilize telephone, email, and text messaging to make appointments and engage clients.

Maintain and update client information, case files, and documentation.

Manage information databases and client contact plans to develop each client profile.

Resolve customer issues in accurate and timely manner.

Coordinate calls, meetings, and communications between Field Agents and clients. Maintain up to date scheduling calendar(s) for Field Agents and conference rooms.

Maintain professional office atmosphere, both in appearance and preparation for client appointments.

Assist in developing sales and marketing initiatives.

Generate customer reports on periodic basis.

Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.

Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.

Develop process guides to ensure repeatable procedures.

Work Requirements

The successful candidate will work for a Catholic business organization serving Catholics who are members of the Knights of Columbus.  The overall job function can be summarized as being responsible for non-production related activity.  This is planned as a full-time position plus occasional additional hours for events conducted off site.  There will be some travel to other Agency offices for trainings or meetings.  The Abbate Agency – Manassas Office is building out regular hours when the office must be staffed.  The office observes most Federal Holidays. 

Skills and Qualifications

English required, bilingual English/Spanish is a plus

Extremely discreet and ethical in handling sensitive personal and financial information

Spectacular phone etiquette

Excellent written communication skills

Proven customer support experience

Client orientation and ability to adapt/respond to different personality types

Detail oriented ability to multi-task, prioritize, and manage work product and time effectively

Ability to work and thrive in a deadline driven environment

Proficiency in Microsoft Office

Ability to quickly learn company specific software applications

Education and Experience

High school diploma or equivalent education

Valid driver’s license and transportation

Administrative Professional or Client Relations Specialist experience is a plus
